The Robotic Process Automation (RPA) has been the current hot topic in the recent years among companies that are planning for their digital transformation strategy. Many business leaders have started to look into the implementation of RPA solution as they are aware that RPA can deliver significant benefits for the organization. Often the benefit of RPA can be quickly realized with a simple and quick implementation plan. However, to produce long-term effects and values for companies, each stage of the RPA implementation roadmap has to be handled carefully. If one of the stages is not handled properly, it could cause a domino effect in which the entire RPA plan will fall apart and fail its objective.

In order to assist you to further understand how to implement RPA in a proper manner, we will have to begin by understanding the overall RPA implementation roadmap. The Cybiant RPA implementation roadmap, based on the model by our partner UiPath, provides you with a holistic view of the implementation plan. It categorizes each of the implementation processes into different stages which makes it easier for us to implement it systematically.

Discovery stage

The RPA implementation roadmap starts with the discovery stage. This stage is about combining the AI, Science and human expertise to select the right processes for automation and also defining governance for the entire process. Companies can utilize the UiPath Discovery Suite to ensure the discovery stage is executed properly. The suite contains solutions such as the UiPath Automation Hub which serves as a platform to crowd source automation ideas from employees and it facilitates the process from idea to actual RPA solution. Furthermore with the use of Uipath Process Mining, UiPath Task Mining and UiPath Task Capture, companies can easily combine and integrate suggestions from employees and actual process data collected by the UiPath solution to suggest the right processes for RPA implementation.

Build stage

After the RPA team has selected the right processes for the automation implementation, the focus now will be on building the automation process. To have strong building capabilities is the core of any automation solution. UiPath is equipped with powerful and user-friendly tools for building the automation solution. The UiPath Studio is ideal for developers with a programming background who are looking to create complex automation projects. On the other hand, the UiPath StudioX is ideal for business users who want to create task automation for personal use without the need to have any programming knowledge. Any beginner who wishes to learn to develop a RPA solution can greatly benefit from using the UiPath StudioX, as it contains simplified interface and straightforward business task automation tools.

Manage stage

At this stage is all about management of the RPA. To provide the best automation solution, the RPA should also provide solid management capabilities that each company needs. Such as user management, license management, robot provisioning to individual machines, distribution of automation processes and tasks to robots and also monitoring and logging. The management of the RPA can be easily achieved by using the UiPath Orchestrator which covers all of the functions mentioned above. Separately, the UiPath Cloud Platform can be useful for relatively smaller enterprise who appreciate a fast start with RPA and low cost entry. It allows companies to use it instantly with quick setup and scale it as needed.

Run stage

Once the automation solution has been built using the UiPath StudioX or UiPath Studio, it can be run in many ways by using the UiPath Robots. The use of robots can significantly improve overall productivity and efficiency of operation, especially when it involves repetitive and tedious tasks. In general, there are 2 types of robots, the Attended Robots and the Unattended Robots.

  • The Attended Robots requires human supervision and intervention in completing a task, thus they are on the same workstations which activities between the robots and human users are directly related. With the help of the UiPath Assistant interface, the employee can work easily with the robots in which processes can be started, stopped, monitored and even scheduled with recurrences. Besides that, the Attended robots can be set up to run multiple processes in parallel, including monitoring the actions of the human users and starting their own actions.
  • Unattended Robots work independently and usually on separate, virtual machines. Sometimes they may also require human intervention for questions and exceptions. They should be as productive and independent as possible. If human input is required, the robot should be able to continue working until it receives it.

Engage stage

Often, true and powerful RPA is relatively complex, is not only about simple processes but for company-wide processes. Thus an effective RPA should create a true partnership between robots and the human users. At this Engage stage, is about creating an ecosystem in which the way activities are carried out by humans and robots don’t generate breaks in the processes, instead ensuring a continuous and effective flow. The UiPath Action Center helps to provide seamless work collaboration between the robots and the human users. It facilitates the tasks for Robot-Human hand-off which robots can create task and move on to the next task while waiting for the execution by the human user.

Measure stage

Measuring return on investment and process indicators is something that most companies do. RPA implementations should be measured both as regular business processes, and also using specific metrics. Monitoring can start with the first RPA implementation and should become an important part of the cycle when companies scale RPA and look for continuous improvement. The UiPath Insights is a powerful, embedded analytics tool that helps you measure, report and align RPA operations with strategic business outcomes. It can measure the success rate of automation and analyse in detail the processing speed, volume and health indicators. By providing insights and accurate report which can be represented in a dashboard, business leaders can have quick access to the data and understand how well the automation processes are working and how to further improve it.
